Currently we are seeking an enthusiastic self-starter to fill the position of Office Assistant. The ideal candidate will be self-motivated, professional, have great attention to detail, and ultimately provide seamless support in a highly visible role that directly impacts the entire organization. This position is for an on-site, full time role in our Hoffman Estates location with the potential for occasional travel to support various events.

  Key Responsibilities

  •  Receiving vendors, visitors and job applicants by greeting, welcoming, directing them and notifying appropriate company personnel of their arrival
  •  Maintains security by following procedures, employing guest logbook system, issuing visitor badges, maintaining and issuing employee loaner and replacement badges
  •  Responsible for all local incoming and outgoing couriers
  • Answer calls and direct to appropriate parties, including taking messages
  • Prepare office for visitors, including meal arrangements and conference room setup
  • Prepare business documents, letters, reports and mailings
  • Coordinate special projects and meetings, including company events and trade shows
  • Maintain office supply inventory
  • Maintain office equipment
  •  Responsible for kitchen cleanliness and stock levels
  •  Weekly grocery shopping for office kitchen; ad hoc shopping as needed
  • Perform a variety of administrative duties to support the overall operational objective
  • Assist accounting with invoices, credit card receipts and scanning
  •  Other duties as assigned

 Requirements/Qualifications

  •  Minimum 4 years of administrative support
  • Proficiency with Microsoft Office software, including Outlook
  • Excellent organizational and time management skills with the ability to multitask
  • Experience scheduling meetings, planning company events and trade shows
  • High degree of discretion dealing with confidential information
  • Ability to learn new software quickly
  • Excellent written and oral communication skills.
  • Ability to work without supervision, excellent time management skills
  • Enthusiastic and outgoing.

 Preferred Qualifications

  • Experience with data entry in accounting software
  • Knowledge or experience working with CRM
  • Business and social media messaging tools experience
  • Associate or Bachelor’s Degree in Business or other related discipline
